Yes, a clinic can send appointment reminders on WhatsApp, but only through the official WhatsApp Business Platform with templates Meta has approved. Here is how it works, what to avoid so your number is safe, and how to keep the cost reasonable.

Why the ordinary app will not do

The regular WhatsApp Business app lets you message people manually. It cannot send automatic reminders at scale. For that you need the WhatsApp Business Platform, usually called the API, connected to your own number.

The rules that matter

  • Patients should message you first or have agreed to hear from you
  • A business-started message must use a template Meta has approved
  • Templates for confirmation, reminder and cancellation are straightforward to get approved
  • One-time codes belong in the authentication category, which has its own fixed wording

Setting it up

A clinic needs a verified business, a number to register, templates written and submitted, and a system that sends the message at the right time and records whether it was delivered. We handle the setup with you, including approvals.

Cost

Meta charges the clinic directly for business-started conversations. The cost depends on volume and category, and is usually small for a single clinic. A good setup avoids sending anything the patient does not need.

Questions we get asked

Straight answers.

Can I use my regular number?

Often yes, with constraints about using the normal app on the same number. Check before you start.

Is it allowed to send reminders without asking?

Patients should have opted in, for example by booking with you. Keep messages relevant to their appointment.

How soon before should I send a reminder?

The evening before, plus a second on the day for same-day slots.

  1. 01

    You message us

A few lines is plenty. Tell us about your business and what is not working.

    We ask the right questions

How your day runs, who your customers are, and what you have tried.

  3. 03

    You get a written plan

Scope, what is included, what is not, and a quote against it.

  4. 04

    We start small

A pilot or first milestone, so you see it working before you commit further.

Not sure what to write? Send us these three lines.

  1. 1 What kind of clinic you run, and in which city
  2. 2 How patients reach you today: calls, WhatsApp, walk-ins
  3. 3 The one thing at the front desk you would fix first

Ready when you are.

We read every message ourselves. No sales script, no pressure.
